Sustainable Leadership System™ — Privacy Policy

This Privacy Policy explains how Sustainable Leadership collects, uses, stores, and protects information in connection with the Sustainable Leadership consultant, the Environmental Review, the Environmental Scoreboard, and our websites and services.
Because the Service is used with real leadership environments, conversations can involve workplace information and information about other people. We want you to understand clearly what happens to that information.
1. Information We Collect
We collect:
- account information, such as your email address and any name you provide;
- information you enter about your Environments and in consultant conversations, Reviews, and Scoreboard use;
- feedback you send, together with the page you sent it from, any related Environment, and the date and time;
- technical and usage information needed to operate, protect, understand, and improve the Service;
- if paid memberships are offered later, transaction and subscription metadata, while a payment processor generally handles full card information.
2. Information About Other People
Please include only the information necessary to think clearly about the environment. Avoid unnecessary identifying details and highly sensitive information; role descriptions are often enough.
You are responsible for having the authorisation to share what you enter, and for complying with your organisation's policies and applicable law.
3. How We Use Information
We use information to:
- create and operate your account and provide the Service;
- conduct Environmental Reviews, maintain the Scoreboard, and support consultant conversations;
- keep your history available so you can return to prior work;
- provide authentication, password recovery, and support;
- process memberships if they are offered later;
- maintain security, diagnose technical problems, and understand how the Service is used;
- improve the Service using feedback, usage patterns, and error information;
- meet legal obligations and enforce our Terms.
4. Artificial Intelligence Processing
The Service uses artificial intelligence to help generate consultant responses based on the information you provide and on Sustainable Leadership frameworks and instructions.
To make this possible, information from your consultant conversations may be transmitted to and processed by technology providers necessary to operate the Service.
5. How We Use Leadership Conversations
Your leadership conversations are used primarily to provide the Service to you: continuity within your account, access to prior work, establishing baselines, and comparing environmental pictures over time in the Scoreboard.
A completed Review remains a historical picture and is not rewritten by later evidence. We do not sell your Reviews, Scoreboard records, or conversations, and we do not publish them.
6. Improving Sustainable Leadership
We use beta feedback, usage patterns, and error and technical information to improve the Service.
Under this policy, identifiable leadership conversation content is not used as general product-training material. If we ever want broader use, we will update this policy first and establish an explicit de-identification or opt-in approach.
7. When We Share Information
We share information with service providers necessary to operate the Service, including hosting, database, authentication, artificial intelligence, email, security, infrastructure, and, in the future, payment providers.
We may disclose information where necessary for legal obligations, safety, security, fraud prevention, enforcement of our Terms, or in connection with a business transaction.
We do not sell personal information for money. If we introduce analytics or advertising technologies that create additional statutory obligations, we will update this policy accordingly.
8. Service Providers
We describe service providers by category rather than by name, and we will update this policy when there is a material change in how information is handled.
9. Data Retention
We retain information as long as needed to provide the Service, maintain your history, protect the Service, and meet legal obligations. Reviews and history are retained so the Scoreboard can compare environmental pictures over time.
When an account is deleted, we delete or de-identify information, subject to limited retention for legal, security, fraud-prevention, accounting, and backup purposes. Specific operational retention periods may be established before public launch.
10. Account and Data Deletion
You can delete your account yourself from the Account page while signed in. Deletion requires a typed confirmation, and it permanently removes your account together with the data you own: your Environments, your Review sessions, conversations and completed Review baselines, your Scoreboard comparisons and Scoreboard conversations, and any feedback you sent. Limited copies may be retained as described above.
11. Security
We use reasonable safeguards to protect information, but no system can be guaranteed absolutely secure. Please protect your credentials and use judgment about what you enter.
12. Your Choices and Rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your information, or to object to or restrict certain processing. We may need to verify your identity before acting on a request, and we will not discriminate unlawfully against you for exercising these rights.
13. Cookies and Similar Technologies
We use necessary cookies and local storage for authentication, security, continuity, preferences, and operation of the Service. If we introduce nonessential analytics or advertising tracking, we will update this policy and provide any required choices.
14. Adults Only
The Service is intended for adults 18 years of age or older. We do not knowingly collect information through accounts belonging to anyone under 18, and we will take steps to delete such information if we discover it.
15. International Users
The Service is operated from the United States. Information may be processed in the United States and in other locations where our providers operate, with appropriate safeguards where required.
16. Changes to This Policy
We may update this policy. For material changes we will provide reasonable notice, and the effective date above identifies the current version.
